Contract Management

Sofon Guided Selling supports the generation of contract documents. However, entering into a contract means committing oneself to future obligations. The logical manner in which all these obligations can be laid down in a contract using Sofon means that managing the concluded contracts is just another small step.

Sofon Guided Selling makes it possible to keep a record of all the contracts you have concluded. The features of the contract can be recorded with each contract, such as the date of commencement and the duration. All the obligations arising from the contract can also be adopted flexibly into contract management. There is no limit here to the number of contract features or their characteristics. It is also possible for contracts to be linked to one another hierarchically.

If a contract relates to delivered goods, such as a machine, these so-called installations can be recorded together with their features. They can then be linked to the maintenance contract, for example. From the installation it is therefore possible to see which maintenance agreement applies, and from the agreement it is possible to determine the installations in question.

If the contract contains obligations that can be planned before they arise, it is possible for these to be scheduled in advance (e.g. preventive maintenance) and allocated to the people or roles responsible beforehand in Sofon.

If the contract contains obligations that cannot be planned before they arise (e.g. a repair request), it is possible for so-called service calls to be recorded and translated into a service action.

When it comes to more complex contracts – such as mortgages or group pensions – Sofon supports the recording and maintenance of cases and case features. This makes it possible to record what action needs to be taken if certain changes arise and which person or department is responsible for this. In the case of a mortgage this may relate to a person moving house and in the case of a pension contract to a person reaching pensionable age. Cases, case features and associated workflows can be modeled in Sofon by users themselves, fully and flexibly.
